Fourth Meeting Decisions

Decisions of the 4th Jeddah Transect Project Steering Committee Meeting, 4/5 May, 2011, Cyprus

Decision Taken:

JTSC decision # 4.1: Database: The Jeddah Transect database is to be implemented at the Deanship of Information Technology at KAU. The Dean of the Faculty of Marine Sciences at KAU will send a formal request to the Dean of Information Technology of KAU asking for the database resources and its setup. A list of users, subproject representatives and a data base manager at FMS/KAU will be provided by Marcus Dengler. Contact to the Dean of the Faculty of Marine Sciences will be made by Adnan Salama.

JTSC decision # 4.2: Student exchange program: Four undergraduate students from KAU will participate in the student exchange program in 2011. Their training program is scheduled from 27 June to 22 July 2011. A supervisor at Kiel will be assigned to each student who will design the educational program based on the recommended topics by KAU. A list of student names will be sent by 15 May 2011.

JTSC decision #4.3: Technician exchange program: For the technician training program (4 technicians) in Kiel, a period of 6 weeks in September/ October 2011 is preferred. The earliest starting date is 12 September. The Kiel groups are going to define a set of skills which can be taught at their premises. This information will be set to KAU by the end of June. A list of technicians’ names will be sent by 15 July 2011.

JTSC decision #4.4: Visit of Kiel students to Jeddah: An invitation will be announced to Kiel students to visit Jeddah for a two-week course on coral reef ecosystems in February/ March 2012. Up to 10 students will be accepted, KAU will provide for accommodation and local transportation. As the students will have to pay the flights themselves, the course will be made attractive by combining it with a diving course.

JTSC decision#4.5: Cruise logistics and shipping to Jeddah port: In order to avoid logistic problems on future cruises, the project’s future policy will be to load bulky equipment and dangerous goods onto the ship in a European port. Any other equipment is to be sent by air freight. Any shipments are to be made early to allow for sufficient handling time.

JTSC decision #4.6: Financial statements: The subprojects will receive monthly financial statements as a basis for their financial decisions.

JTSC decision #4.7: Management of purchases: Any purchases to be made within the subproject budgets are to be decided upon jointly by the German and Saudi subproject leaders. Formal information containing a box diagram detailing the purchasing process will be sent to all subprojects by Warner Brückmann.

JTSC decision #4.8: Additional purchases: Purchases which are deemed necessary by the subproject leaders but for which there are no funds within the subproject budgets, can be funded by the transport/ logistics project. Requests for such funds are to be sent to Warner Brückmann, including a statement on why the equipment is needed. An official form for this purpose will be provided.

JTSC decision#4.9: Re-integration of Project 3: The division of subproject 3 into two subprojects was not authorized by the Steering Committee and has shown to be a disadvantage. Subprojects 3a and 3b will be re-integrated in one project, to be coordinated by Martin Wahl.

JTSC decision#4.10: Approval for data dissemination: Presentation of Jeddah transect data or results without permission of all members of the subproject is strongly discouraged.

JTSC decision #4.11: Next meeting of the Jeddah Transect Steering Committee: The next meeting of the Jeddah Transect Steering Committee will take place in Dubai on 24/25 October 2011.
